A paper reply card asks a guest to find a pen, a stamp and a postbox. An online RSVP asks them to tap a link. With Occavia the reply form is part of the invitation page itself: the same link that shows your names, the date, the venue and the schedule of the day also collects the answer. Guests do not create an account, install anything or leave the page.
The form is short on purpose: a name, yes or no, and — only when you switch them on — party size with companion names, dietary needs and up to five questions of your own. A note box is always there for a song request or a line of congratulations. Everything a guest submits appears in your dashboard the moment it is sent, matched to your guest list, ready to filter, search and export. Wedding and birthday invitations carry the same form.
How it works
Set the reply options in your dashboard
Choose a reply-by date, decide whether guests should name their companions and state dietary needs, and add up to five questions of your own — free text, or a choice from options you write, each one required if you say so. Every option can be changed later.
Share one link
Every invitation has one public link. Send it on WhatsApp, by email or on a printed card with a QR code — the free QR code generator turns the link into a code in seconds. There is nothing per guest to manage: the same link serves everyone.
Guests reply in a tap
A guest types their name, taps Joyfully yes or Regretfully no, picks a party size, names who is coming with them, ticks dietary needs and answers your questions. Email and phone are optional. Guests who leave an address get one confirmation email with the date ready to add to their calendar.
You watch the replies land
Each reply appears in your dashboard as it arrives and reaches you by email as well — a change from yes to no included. A Monday digest sums up the week, and a reminder a week and a day before the wedding shows the count once more.
What guests see
Guests open the invitation in the browser they already use. The reply form sits inside the invitation, in the same design, and follows the guest's language: on a multilingual invitation the labels, buttons and dates are translated in thirteen languages, and guests switch with one tap.
After a yes, the thank-you card offers Add to calendar — one tap for Google Calendar, a standard calendar file for Apple Calendar and Outlook — plus the link to share their photos and a button to leave a wish in the digital guestbook. If you have switched them on, the same card opens the list of who is coming and a Find your seat search.
Come back to the invitation on the same phone and it remembers the reply, with a Change reply button. After your reply-by date the form shows a friendly closed notice with a suggestion to contact you directly, instead of failing silently.
What you see
The dashboard opens on four cards — Attending, Declined, Pending and Total — with the headcount in people beside the count of replies, because a family who reply for four is one reply and four seats. Below them sits your guest list, matched automatically to the replies that arrive.
Filter by status, search a name, and open any guest to read their note, their dietary needs, their companions and their answers to your questions. Guests who reply but are not on your list appear in their own group, so your totals never inflate. One button exports everything as a CSV — a column per question you asked — ready for the caterer or the seating chart.
Your list itself comes in from Excel, Google Sheets, Numbers or a CSV file — or simply pasted — and you review the rows before saving. Guests who have not replied can be nudged on WhatsApp straight from your phone, and the seating plan lives one click away.

Party size and companion names
Guests pick one to four-plus and, when you enable it, name each person they are bringing — so your count is in people, not households, and every plus-one is on record before the seating chart.
Dietary needs, collected once
Switch on the dietary question and guests choose from gluten-free, lactose-free, vegetarian, vegan, nut allergy, shellfish allergy, halal and kosher, or type their own. Each need sits beside the guest's name and in the export.
Your own questions
Up to five: transport needed, menu choice, song request — free text or a single choice from options you write, marked required if you need an answer. Replies land beside the guest and as their own columns in the CSV.
A reply-by date that means it
Set a deadline and the form closes at the end of that day with a friendly notice; late replies are refused. Clear the date in your dashboard and it opens again within seconds.
Edit without duplicates
On the phone they replied from, guests find their answer and a Change reply button; the edit replaces the original, so a yes that becomes a no does not leave a ghost seat.
Guest list matching and autocomplete
Replies attach to the names on your list automatically. If you show the guest list on the invitation, the form also suggests the exact spelling as a guest types, so replies match cleanly.
Privacy and what guests need
Guests need nothing: no app, no account, no login. The invitation page is a public link that is kept out of search engines, so names, date and venue stay between you and the people you sent it to. Email and phone are optional fields — a guest who leaves neither still replies in full — and a confirmation email is sent only to guests who typed an address, once, in the language your invitation was created in (English, or Georgian). The replies are stored with your event, visible to you and to any co-host you add, and exportable at any time.
Replies, edits and duplicates
A reply is remembered on the device it was sent from. Open the invitation there again and you can change it; the new answer replaces the old one in your dashboard. A guest who replies from a different phone creates a second entry, so the dashboard shows the latest reply per name and lets you delete a stray one in a tap. A reply belongs to the guest who sent it: you can add or remove guests, but you do not rewrite their answers. The weekly digest and the per-reply emails keep you informed without opening the dashboard — useful in the last two weeks, when the timing of your reminders matters most.

Frequently asked questions
Do guests need an app or an account to RSVP?
No. The reply form is on the invitation link itself. Guests open it in the browser they already use, tap yes or no and they are done — nothing to install, nothing to sign up for. Anyone who can open a message can reply.
Can a guest change their reply after sending it?
Yes, from the phone they replied on: the invitation remembers their answer and shows a Change reply button, and the edit replaces the original in your dashboard. From another device they would create a second entry, which your dashboard groups by name so you can delete the stray one.
Can I ask my own questions, like transport or a song request?

What happens after my reply-by date?

Does the RSVP work on a birthday invitation too?
Yes. Every Occavia invitation — wedding or birthday — carries the same reply form with party size, companion names and your own questions. Save the Date announcements are the exception: they announce the date and add it to the calendar, but they do not collect replies.
Do guests get a confirmation?
Guests who leave an email address receive one confirmation with the date ready to add to their calendar; guests who leave no address see the thank-you card on screen, with the same Add to calendar buttons. The email is sent in the language your invitation was created in, English or Georgian.
Can I collect dietary needs and plus-ones?
